Role Description
We are seeking a passionate and detail-oriented Sales & Events Manager to lead the sales and planning process for events at our winery, with a primary focus on weddings and corporate events. This role plays a key part in positioning our winery as a premier wedding destination, offering a picturesque setting and exceptional guest experience. The ideal candidate will be responsible for managing the full event lifecycle—from initial inquiries and venue tours, to booking and detailed planning, through execution on the day of the event, and post-event follow-up.
A successful candidate will have a strong background in wedding and event coordination, excellent communication and relationship-building skills, and a passion for creating memorable, seamless experiences for couples and their guests. This role requires a hands-on approach, the ability to manage multiple events at once, and a deep understanding of the emotional and logistical nuances of wedding planning.
Full Sales Cycle:
Manage clients through the Full Sales process from lead generation and response, to post-event thank you notes. Sales process are including but not limited to:
- Lead and coordinate at weekly or bi-weekly meetings to provide input/direction to events and catering team on event logistics and client information
- Responding to inquiries throughout the entire sales/wedding coordination process
- Developing new sales prospects and conducting outside sales calls to potential clients (wedding and corporate events)
- Booking client walkthroughs and appointments
- Building client and vendor relationships
- Conducting on-site walk-through appointments
- Creating custom proposals
- Create and Maintain a detailed client portfolio
- Contract negotiations, closing & booking done in a professional manner and timely manner
- Follow-up and client maintenance
- Collecting deposits and reviewing final Event Order prior to invoicing
- Work closely with the Events Team to ensure the successful execution of the client’s vision
Event Planning and Execution:
Responsible for planning and execution of all winery events (weddings, corporate, social), ensuring they are well-organized and executed and align with the brand’s image.
- Work with the Fleetwood Team to create unique and engaging experiences that attract and retain customers for small, medium, and large events.
- Work with the Director of Sales and Marketing and General Manager to ensure attendance at the necessary networking and local opportunities for winery presence.
Marketing:
Work closely with our Marketing & Branding Partner to develop and execute strategic plans that align with the winery’s vision and objectives for outbound marketing to increase Wedding bookings and repeat engagements.
- Work with Marketing and Fleetwood Team to drive initiatives to increase sales, brand visibility, and overall customer loyalty. Continue to develop and enhance the FFW event experience
- Identify and attend local groups, networks, social gatherings and other opportunities to help increase the company’s local footprint and brand awareness.
- Provide Marketing with up-to-date content and help direct with specific attention to organizing marketing assets with proper tagging and social media handles
- Reach out to Clients for Reviews
Operational Oversight:
Ensure consistency in customer service standards across all events, creating an exceptional guest experience. Ensure consistency and oversight over all in-house CRM’s and financials.
- Oversee Event Operations, addressing any issues that arise promptly and effectively.
- Maintain event tracking sheets. Report on the status on each month to the GM and team in weekly meetings
- Collaborate with other department heads to create a seamless experience for clients.
- Provide Cross Training materials for all core team members
- Work closely with the Accounting/Finance Manager. Submit all checks and deposits in a timely manner
Food & Beverage Oversight:
- Ensure the Food & Beverage department and outside Caterers delivers consistent, high-quality offerings
- Collaborate with the Operations Manager to plan and execute all operational needs for events and weddings i.e. food, beverage, cleaning, etc.
- Upsell FFW food and beverages whenever possible to drive in-house revenue
Qualifications
- 2-5 years of proven experience in event planning and management
- Experience in the wedding industry is a must
- Strong customer service and communication skills
- Excellent time management and organizational abilities
- Proficiency in budgeting and financial management for events
- Negotiation and marketing skills, with a focus on upselling
- Relevant background in hospitality, catering, or restaurant services
- Familiarity with contracts and fundraising initiatives

Role Description
Fleetwood Farm Winery is seeking a dependable and hospitality-focused Part-Time Event Coordinator to support the on-site execution and closing of weddings, corporate events, and private events.
This is a part-time, on-site position with no benefits, based in Leesburg, VA. The typical shift is 4:00 PM–12:00 AM, primarily on evenings and weekends based on our event calendar.
While titled Event Coordinator, this position is primarily focused on event execution and closing responsibilities. The Event Coordinator will serve as a Fleetwood representative during events, provide exceptional customer service to clients and guests, coordinate with event staff and vendors, monitor event timelines, and ensure each event concludes smoothly and professionally.
The Event Coordinator will also oversee end-of-evening responsibilities, including vendor breakdown, event cleanup, venue reset, and ensuring the event space is properly secured and ready for the next day.
Qualifications
- Prior experience in hospitality, weddings, events, restaurants, catering, or customer service preferred.
- Strong communication and customer service skills.
- Spanish-speaking or bilingual English/Spanish candidates are highly preferred.
- Dependable, punctual, professional, and comfortable taking responsibility for closing an event.
- Detail-oriented and highly organized with strong problem-solving abilities.
- Ability to multitask and remain calm in a fast-paced event environment.
- Comfortable communicating with clients, guests, vendors, and event staff.

- Work with cleaning and event staff to ensure event spaces are properly cleaned and organized.
- Ensure Fleetwood furniture, equipment, décor, and supplies are returned to their appropriate locations.
- Inspect event spaces at the end of the evening and report damages, maintenance concerns, excessive cleaning needs, or items left behind.
- Complete required event closing procedures and checklists.
- Ensure designated event spaces are properly secured before leaving the property.
- Communicate any client, vendor, staffing, or operational concerns to management following the event.
